This explains, in plain English, what data Quibo collects, why we use it, who we share it with and the control you have over it. Quibo is software that helps you prepare and file your own CIS tax refund — you stay in control the whole way, and the refund is paid straight into your own account.

Who we are

Quibo is a product of Allen Living Limited, a company registered in England & Wales (Companies House number 14787139). Allen Living Limited is the data controllerfor the personal data described here, and is registered with the Information Commissioner's Office (ICO) under registration number ZC177345.

What we collect

When you use the calculator and ask us to follow up, we collect the lead details you give us: your name, email address, mobile number, your trade, the consent you give us, and any referral code you arrived with.

If you go on to become a customer and ask us to prepare a refund claim, we also process the information needed to do that work:

  • your bank transaction data, accessed through FCA-regulated UK Open Banking, once our bank connection launches — no bank is connected today (see below);
  • any bank statement images you upload;
  • your CIS figures (the tax deducted from your pay); and
  • the answers you give to the questionnaire we use to put your claim together.

Bank data and Open Banking

This feature has not launched yet — no bank is connected today.

When you choose to connect your bank, we read your transactions through an FCA-regulated Open Banking provider, and only with your explicit consent. You give that consent through your own bank, and you can withdraw it at any time.

Under Open Banking rules your consent is re-confirmed every 90 days, so access doesn't continue indefinitely without you renewing it. Your bank data is encrypted at rest and we keep it to the minimum needed to prepare your claim — we don't pull in more than the work requires.

Why we use your data

We rely on your consent to send you marketing — the follow-up about your estimate and what you could be owed. You can withdraw that consent whenever you like.

When you ask us to prepare your refund claim, we use your data to deliver that service to you (our contract with you) and for our legitimate interests in running and improving it. We only use your data for the reasons set out in this policy.

Who we share it with

We share your data only with the service providers who help us run Quibo, and only so they can do that job for us. These are the ones handling your data today:

These are the providers we have lined up for features that haven't launched. They hold none of your data today, and we'll update this page before any of them do:

We never sell your data. And your refund is always paid into your own bank account — it is never nominated to us.

Where your data goes

Some of the providers handling your data today are based outside the UK, or are US-owned, which means your data can be transferred abroad. Where that happens we rely on the safeguards UK data protection law requires — the Standard Contractual Clauses together with the UK International Data Transfer Addendum — so your data keeps the same protection it has here.

How long we keep it

We keep your data only as long as necessary to provide the service and to cover any HMRC enquiry window that could apply to your claim. After that, it's deleted.
